Talkdesk is seeking an experienced Executive Assistant to join our Bellevue office and provide comprehensive administrative and operational support to senior leadership across Product & Engineering, Customer Experience, and Marketing. In this role, you will manage complex calendars, coordinate cross-functional meetings, prepare high-quality correspondence and briefing documents, and handle confidential information with professionalism. You'll also lead day-to-day workplace operations for our Bellevue office, ensuring it reflects company culture and supports productive work. Beyond executive support, you will own office operations leadership, serving as the primary point of contact for visitors, candidates, partners, and customers. Your responsibilities include managing vendor relationships (facilities, cleaning, catering, security, supplies), coordinating domestic and international travel, overseeing conference room and common area maintenance, and managing office inventory and budgets. You'll partner with People Ops on onboarding logistics and support the planning and execution of office culture initiatives and team events. This is a full-time position based in Bellevue, Washington, requiring 5+ years of executive assistant or office management experience in a fast-paced environment. You must be tech-savvy with proficiency in Google Workspace and task management tools, possess exceptional organizational skills and attention to detail, and demonstrate strong problem-solving abilities and the ability to prioritize independently.
Responsibilities
- Provide administrative and operational support across Product & Engineering, Customer Experience, and Marketing
- Manage complex calendars and coordinate meetings across cross-functional stakeholders
- Draft and edit high-quality correspondence, reports, and leadership materials
- Prepare meeting agendas and briefing documents, conduct research and compile supporting materials
- Track action items and key deadlines to completion
- Coordinate domestic and international travel logistics and documentation
- Submit, reconcile, and track expense reports accurately and discreetly
- Maintain organized records and documentation across key initiatives
- Handle confidential and sensitive information with professionalism
- Own day-to-day workplace operations for the Bellevue office
- Ensure the office environment reflects company culture and supports productive work
- Serve as primary point of contact for visitors, candidates, partners, and customers
- Manage mail distribution, shipments, and delivery logistics
- Oversee vendor relationships including facilities, cleaning, catering, kitchen, security, and office supplies
- Liaise with building/property management and attend required facilities or safety meetings
- Maintain conference rooms, common areas, and shared spaces
- Manage office inventory and supply budgets as needed
- Partner with People Ops to support onboarding logistics and workspace setup
- Coordinate basic IT-related logistics in partnership with the IT team
- Support planning and execution of office culture initiatives and team events
- Coordinate offsites, leadership meetings, and in-office gatherings
- Help foster a welcoming, service-first environment for employees and guests
- Act as a trusted operational partner across Product, Engineering, CX, and Marketing teams
